The Medical Administrative Assistant plays a crucial role in supporting healthcare professionals and ensuring the efficient operations of a medical facility or office. This role involves a combination of administrative tasks, patient coordination, and communication with healthcare providers, staff, and patients. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills. They should also have a strong understanding of medical terminology and be proficient in managing medical records and scheduling appointments.
Responsibilities:
Patient Coordination:
- Schedule patient appointments, surgeries, and follow-up visits, ensuring optimal utilization of healthcare providers' time.
- Coordinate patient referrals to specialists and diagnostic facilities as requested by healthcare providers.
- Provide necessary instructions to patients regarding preparation for medical procedures and tests.
- Respond to patient inquiries and resolve any issues or concerns promptly and professionally.
Medical Records Management:
- Maintain and update patient records, ensuring accuracy, confidentiality, and compliance with privacy regulations.
- Enter patient demographic information, medical history, and treatment details into electronic health records (EHR) systems.
- Organize and file patient documentation, such as test results, referrals, and correspondence, in accordance with established protocols.
Administrative Support:
- Answer phone calls, take messages, and direct inquiries to appropriate healthcare providers or staff members.
- Coordinate and manage the healthcare providers' schedules, including appointments, meetings, and travel arrangements.
- Assist with billing and coding procedures, including verifying insurance coverage and submitting claims.
- Prepare and process medical correspondence, reports, and other administrative documents.
Communication and Team Collaboration:
- Liaise between patients, healthcare providers, and other staff members, ensuring effective and timely communication.
- Communicate with pharmacies, laboratories, and other healthcare service providers to ensure seamless coordination of patient care.
Compliance and Quality Assurance:
- Adhere to established protocols, policies, and procedures related to medical record management, patient confidentiality, and healthcare regulatory guidelines.
- Stay updated on industry changes, medical terminology, and insurance requirements to ensure accurate and compliant documentation.
Requirements
- Advanced English level (excellent oral and written communication skills)
- A strong understanding of medical terminology, procedures, and healthcare practices
- Ability to communicate clearly and professionally with patients, healthcare providers, and other staff members.
- Proficiency in using various computer applications and electronic health record (EHR) systems is crucial
- Compassion, empathy, and a friendly demeanor are important traits for providing excellent customer service and making patients feel comfortable.
- Ability to handle multiple tasks simultaneously, such as answering phone calls, scheduling appointments, etc.
- Own Laptop or Desktop (8GB RAM, Core i5 or above) with an internet connection of at least 10 Mbps
- Willing to work on Pacific Standard Time (PST) schedule
