As an Operations Manager, you will have the same passion for delivering what is possible on the Digital Frontier as our team of 3D Artists. You will help us to grow and scale a current business of ten by ensuring we have the right people, processes and systems in place. You will accept nothing less than the best from yourself and others and you will be responsible for making sure that project delivery, standards, quality and client communication is in line with the Visualizations industry-leading standards.
Operations Manager | Responsibilities
Resource and Project Management
You will use Toggl Plan to understand project requirements and work with Project Managers and our
Creative Director to plan out who will work on which project and when.
You will ensure studio time is being recorded accurately and effectively via Toggl Track
You will determine time estimates and evaluate team availability, moving resources around to enable the
successful delivery of projects to agreed timelines
You will oversee Project Profitability and ensure deadlines and milestones are met
You will identify and manage when to ask for additional services
You will understand and manage team member utilization/efficiency. You will ensure the studio has
sufficient staff to deliver and optimize resource levels to ensure quality while maintaining gross margins
(right blend of full-time staff, Overtime, and use of contractors)
Client Communication
You will support the Project Manager and Creative Director to cost projects and determine a preliminary
project schedule.
You will create and issue all formal client correspondence (Contracts, Amendments, Proposals)
You will oversee project correspondence from team Project Managers (Project Deliveries / Updates)
You will support the Financial Controller in Credit Management activities to ensure debts are paid to agreed
terms
You are the main (and first) point of contact for client invoice dispute resolution
Business Development
You will support the Creative Director in identifying new business opportunities.
You will contact potential clients via email or phone to set up meetings.
You will maintain and monitor leads and our project pipeline in Hubspot
You will represent the company at external events.
People Management
You will ensure our team of 3D Artists conforms to our Project Standards, and conduct documented feedback and coaching sessions based on their individual performance
You will take ownership of Studio KPI’s (Utilization, Project Delivery, and Project Profitability)
You will develop, implement, and review operational procedures
You will manage team member development, performance reviews, and bonus calculations
You will prepare job descriptions, help advertise roles, and manage incoming applications
You will help onboard new employees
You will monitor annual leave / manage holiday requests and planned / unplanned time off
Requirements
You have at least 5 years of post-graduate professional experience, with recent involvement in firms of at
least 10 people
Experience as a Project Manager / Operations Lead
Experience with implementing operational KPI’s
Experience working with Financial Data
Excellent communication skills among peers, disciplines, and clients
US work visa and fluent English.
