Position profile

Reporting to the Head of Program, and working under the guidance and direction of the HQ Documentation Unit, the Documentation Clerk duties and responsibilities will include, but will not necessarily be limited to, the following:

  • Work with Documentation Unit team regarding document processing and document control
  • Document numbering, proofreading, formatting and standardizing documents
  • Document control (tracking versions, distribution, etc.) following document control procedures
  • Archiving and logging all documents in the Documentation Unit repository and providing electronic copies to Documentation Unit members in case a limited access to the said repository;
  • Preparing documents and logistics for meetings and events
  • Point of contact for staff for all translations, and managing the document translations, in coordination with the Finance and Administration Officer in HQ
  • Other related office duties as assigned.

Requirements

  • Studies in Business, Project Management, Public Administration, or other relevant areas
  • Five years working in a similar role within an international organization
  • Previous experience working with official documentation
  • Knowledge of document archiving
  • Previous experience working within international organizations
  • Previous experience working on EU funded grants desirable
  • Previous experience supporting field based teams
  • Strong analytical and writing skills


Additional information

  • Legally entitled to work in Mexico
  • Professional fluency in written and spoken English and Spanish
  • Excellent knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
  • Ability to interact positively with colleagues regardless of culture, nationality, religion or gender
  • Willingness to travel and to work flexible hours including weekends and evenings, when necessary.


Benefits

In addition to an attractive base salary, this position is eligible for up to 8 weeks of paid time off each year and generous social security insurances. This position is at the LES 5 level on the ICMP Mexico salary scale. This position is not eligible for relocation or expatriate allowances. For more details, please see the ICMP website.
